Prepare and process purchase orders (PO), ensuring accuracy against sales orders and purchase requests.
Handle both local and international procurement, including canvassing suppliers, negotiating pricing, and coordinating with vendors.
Oversee the preparation and safekeeping of all required import documentation, such as commercial invoices and packing lists, and ensure compliance with regulatory requirements by securing additional permits from relevant government agencies (e.g., Import License from BOC, NTC Permit, OMB, as applicable).
Ensure timely processing of payment requests and supplier documentation.
LOGISTICS AND INVENTORY MNGT
Coordinate with vendors, freight forwarders, and couriers for on-time delivery of goods.
Inspect shipments upon arrival and collaborate with the technical team for product validation.
Manage inventory records, item codes, serial numbers, and conduct scheduled stock counts.
Ensure proper product labeling, warranty, and compliance documentation.
Develop and maintain delivery schedules, ensuring timely preparation and clear communication of assignments and route details to messengers and collectors
RETURNS AND WARRANTY (RMA)
Work with the technical team to verify defective items and process RMA requests with suppliers.
Secure case numbers, invoices, and permits required for return shipments.
Monitor RMA progress and ensure timely closure of cases
ANNUAL REPORTORIAL COMPLIANCE FOR MORE INFORMATION
Secure and process regulatory accreditations and permits, including the Certificate of Accreditation as Importer from the Bureau of Customs (BOC), Dealer’s Permit for Short Range Device/Wireless Data Network Device (Indoor) from the National Telecommunications Commission (NTC), and License to Operate Optical Media Business – Distributor Storage Devices from the Optical Media Board (OMB).
Requirements
Bachelor’s degree in Business Administration, Supply Chain, Logistics, or a related field.
Minimum 3 years of experience in procurement, logistics, or supply chain operations (import/export experience is an advantage).
Familiarity with ERP systems (e.g., Microsoft Dynamics NAV) is preferred.
Knowledge of regulatory requirements (e.g. NTC, OMB and BOC Importation process flow) is a plus
Strong understanding of purchasing practices, supplier coordination, and logistics management.
Strong organizational and time management skills with attention to detail.
Excellent communication and negotiation abilities.
Problem-solving mindset with the ability to handle multiple tasks simultaneously.
Proficiency in Microsoft Office (Excel, Word, Outlook).
