Description

The Commissary Administrative Assistant provides clerical and administrative support to ensure the efficient operation of the commissary. This role involves handling a variety of administrative and organizational tasks, supporting staff and management, compliance in company procedures, receiving and logging bills and others.


Key Responsibilities:


  • Administrative Support:
  • Answer and direct phone calls, emails, and other inquiries.
  • Maintain accurate records, including inventory, orders, and employee schedules, billing statements and sales invoices
  • Assist with the preparation of reports, memos, and correspondence.
  • Coordinate and schedule meetings, appointments, and travel arrangements for staff.
  • Inventory and Order Management:
  • Track and monitor inventory levels and assist with reordering supplies as needed.
  • Verify and process purchase orders and invoices.
  • Maintain up-to-date records of deliveries and stock.
  • Compliance and Documentation:
  • Ensure all documentation meets regulatory and company standards.
  • Assist with audits and inspections, preparing necessary documents and reports.
  • Maintain confidentiality of sensitive information.
  • Customer Service:
  • Address customer and staff inquiries promptly and professionally.
  • Resolve issues or escalate them to management as required.
  • Other Duties:
  • Support commissary operations as needed, including assisting in food preparation or packaging during peak times.
  • Train or assist new administrative hires.


Requirements

  • High school diploma or equivalent (bachelor's degree is preferred)
  • 2+ years of experience in administrative support, preferably in food service or a related field.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Knowledge of inventory management systems is a plus.
  • Fluency in English is also a plus
