Role Summary:

The CAFM Manager is responsible for overseeing the operation, maintenance, and optimization of the CAFM system within the organization. This includes ensuring accurate data entry, managing system updates, providing training and support to users, and leveraging the system to improve facilities management processes, efficiency, and reporting.


Key Responsibilities:


CAFM System Administration:

  • Manage the setup, configuration, and maintenance of the CAFM software.
  • Ensure system integrity by regularly auditing data and performing system updates.
  • Develop and implement workflows and procedures to align with organizational goals.


Data Management and Reporting:

  • Maintain accurate records of assets, maintenance schedules, and facility data.
  • Generate and analyze reports to provide insights into operational performance and identify areas for improvement.
  • Support compliance with health, safety, and regulatory standards through effective reporting.


User Support and Training:

  • Provide technical support to users of the CAFM system, troubleshooting issues as they arise.
  • Develop and deliver training programs for staff to ensure effective use of the system.


Collaboration and Coordination:

  • Work closely with facilities, maintenance, IT, and other departments to align CAFM functionalities with organizational needs.
  • Coordinate with external vendors and service providers for system upgrades, support, or integration.


System Optimization:

  • Identify opportunities to enhance CAFM capabilities and recommend solutions to improve system functionality.
  • Lead or participate in projects to integrate CAFM with other business systems (e.g., ERP, BMS).


Budget and Resource Management:

  • Monitor expenses related to CAFM systems and ensure cost-effective solutions.
  • Provide input into budgeting and forecasting for system upgrades or new tools.


Qualifications and Experience:


  • Bachelor’s degree in Facilities Management, Information Systems, or a related field.
  • Proven experience in managing CAFM systems (e.g., Concept Evolution, Archibus, Maximo, or similar).
  • Strong understanding of facilities management principles and processes.
  • Proficiency in data analysis, reporting, and creating dashboards.
  • Excellent communication and interpersonal skills to interact with stakeholders at all levels.
  • Experience in project management and system integration is a plus.


Skills and Competencies:


  • Technical proficiency with CAFM software and associated tools.
  • Strong organizational and problem-solving skills.
  • Attention to detail and commitment to data accuracy.
  • Ability to work independently and manage multiple tasks effectively.
  • Familiarity with compliance and health/safety regulations.
