Billing & Admin Coordinator

Location: Remote (Supporting Australian Operations)

Client: An Australian-based company specialising in clinical therapeutic seating solutions for the healthcare industry.


The Opportunity at a Glance

Are you an organised, detail-driven professional with a passion for billing accuracy and data management? We’re looking for a Billing & Admin Coordinator to join our growing remote team. In this fully remote role, you’ll play a vital part in ensuring smooth invoicing, CRM data integrity, and rental contract administration for a leading healthcare provider serving patients across Australia.


How You’ll Make an Impact

  • Drive accurate billing: Set up rental contracts, process invoices promptly, and ensure customer billing accurately reflects agreed terms, free trials, and rental timelines.
  • Maintain clean data: Manage customer and contract information within HubSpot CRM, keeping records updated and audit-ready.
  • Create powerful reports: Use advanced Excel skills (pivot tables, VLOOKUPs, formulas) to generate billing, rental, and financial reports for internal teams.
  • Support contract closure: Finalise rental agreements, ensure correct billing, and assist with account reconciliations at the end of rental periods.
  • Coordinate across teams: Liaise with sales and operations teams to confirm pricing, contract details, and resolve any invoicing or asset discrepancies.
  • Prioritise precision: Consistently ensure a high level of data accuracy, proactively identifying and correcting any gaps or issues.


What We’re Looking For – You’re the Perfect Fit if You:

  • Have hands-on experience in billing, invoicing, financial administration, or related roles.
  • Possess advanced Excel skills, including pivot tables, VLOOKUPs, and advanced data handling.
  • Are comfortable navigating CRM systems (HubSpot experience highly regarded).
  • Communicate clearly and professionally, particularly in email and CRM-based communications.
  • Are highly organised, reliable, and capable of independently managing deadlines in a remote environment.
  • Take pride in meticulous data management and operational support.


What Sets You Apart – You’ll Shine Even Brighter with:

  • Experience supporting clients or customers in rental services, equipment hire, or healthcare administration.
  • Familiarity with Australian billing practices and accounting platforms like Xero or MYOB.
  • A proactive mindset with a focus on continuous improvement and process refinement.
