Part-Time Admin Assistant (Construction, Engineering & Hospitality)

Remote | Day Shift | Occasional Weekend Availability

About the Role:

Our client, a dynamic business owner in the construction, engineering, and hospitality industry, is seeking a part-time Admin Assistant to provide high-level administrative support. This role requires flexibility, including the ability to take occasional weekend calls from the managing owner when necessary.

Key Responsibilities:

Email Management

  • Monitor and manage the client’s email inbox, ensuring timely responses.
  • Draft and send professional email communications.
  • Gather information from internal team members to compose comprehensive replies.
  • Maintain email records and documentation for reference.

Invoice Administration

  • Track and identify unpaid invoices to ensure timely payments.
  • Match invoices to corresponding work orders for accuracy.
  • Monitor invoice status (issued vs. non-issued) and follow up as necessary.
  • Maintain detailed records of invoice-related communications.

Team Coordination

  • Liaise with internal team members regarding project status and updates.
  • Follow up on pending tasks and deliverables to ensure deadlines are met.
  • Ensure timely completion of client requests with a proactive approach.
  • Facilitate clear and efficient communication between the client and internal teams.

Requirements

2+ years of experience working directly with a CEO, President, or Founder as an Executive Assistant.

Industry Experience – A background in construction, engineering, or hospitality is a MUST.

High Accountability & Integrity – A commitment to confidentiality and ethical work practices.

Resilience, Patience & Commitment – Ability to handle fast-paced environments with professionalism.

Quick Thinker & Resourceful – Can adapt, solve problems independently, and take initiative.

Minimal Supervision – A self-starter who can anticipate needs and execute tasks efficiently.

Flexibility – Willing to take occasional calls from the Managing Owner on weekends if necessary.
