Accounts Assistant Virtual Assistant — Position Description


The Accounts Assistant VA provides reliable, detail‑driven support across core bookkeeping and administrative finance tasks. The role focuses on maintaining accurate financial records, ensuring timely processing of transactions, and assisting with routine accounting functions that keep the business running smoothly.


Key Responsibilities

  • Process accounts payable and accounts receivable, including invoice creation, tracking, and follow‑ups
  • Process daily/weekly invoices from cleaners & contractors
  • Reconcile bank statements, credit card statements, and payment platforms
  • Maintain organised digital financial records and update accounting systems
  • Support month‑end and quarter‑end tasks, including data entry and document collection
  • Communicate with guests, property owners, contractors and internal teams regarding billing or payment queries
  • Monitor due dates to ensure timely payments and accurate record‑keeping
  • Perform general administrative duties related to finance operation


Skills and Qualifications

  • Strong attention to detail and accuracy in data entry
  • Experience with accounting software (e.g., Xero, QuickBooks, MYOB, RMS or similar)
  • Solid understanding of basic bookkeeping principles
  • Proficient in spreadsheets and financial data organisation
  • Clear communication skills and ability to follow structured processes
  • High level of confidentiality and professionalism
  • Ability to work independently, manage deadlines, and prioritise tasks
