Description
Bid Preparation and Documentation:
Assist in the preparation and completion of bid documents, ensuring compliance with client specifications and deadlines.
Coordinate with internal teams (sales, finance, legal, and technical) to gather all necessary information for the bid.
Prepare and format proposals, tender documents, and presentations in response to RFPs or tenders.
Ensure that all supporting documents, such as certifications, contracts, and legal requirements, are included in the submission.
Bid Submission and Coordination:
Submit completed bids on time and follow up with clients to confirm receipt of submissions.
Ensure that all electronic or hard copy bid submissions are correctly formatted and submitted according to client instructions.
Manage and track multiple bid submissions, ensuring all deadlines are met and any clarifications or additional information requested by the client is promptly provided.
Bid Monitoring and Reporting:
Track the status of ongoing bids, ensuring that team members are aware of deadlines, client updates, and changes.
Monitor bid progress, ensuring all documents are submitted accurately and in a timely manner.
Maintain a database of submitted bids, ensuring all records are up-to-date and organized for easy reference.
Prepare regular status reports on active and upcoming bids for the sales and management teams.
Collaboration and Liaison:
Collaborate with the sales team, project managers, finance, and other departments to ensure bids are competitive, accurate, and meet client needs.
Work with the legal team to review contract terms, conditions, and compliance requirements before finalizing bid submissions.
Assist in coordinating internal review meetings for bid documents to ensure they align with company strategies and objectives.
Document Management and Filing:
Maintain a well-organized repository of bid documents, proposals, contracts, and related materials.
Ensure all bid files are properly stored and easily accessible for future reference or audits.
Keep track of the bid results, providing feedback on successful and unsuccessful submissions for improvement.
Post-Bid Follow-up:
Assist with post-bid activities, including following up on submitted bids to determine outcomes.
Help the sales team prepare for contract negotiations and customer meetings following a successful bid.
Provide feedback from clients to help refine future bid processes and proposals.
