JOB OVERVIEW

- The Device Operations Specialist plays a critical role in supporting the day-to-day operations of the Device Management team. The role ensures timely and accurate fulfillment of device requests, manages ticket intake, coordinates with vendors and internal teams, maintains inventory records, and supports various logistics and administrative tasks. This position also handles ad hoc assignments necessary to keep device operations running smoothly.


Skills and Qualifications:

  • Bachelor's degree in Business, Operations, or related field.
  • If different course, min. 2 years experience in operations, logistics, inventory management, or after-sales/customer service.
  • Best: AppSheet experience. Basic: Suite tools.
  • Willing and able to report 2-3x/week on-site and travel within the Philippines for deployments.
  • Detail-oriented, organized, and comfortable working in fast-paced operations.


1. Device Assignment and Processing

  • Assign Terminal IDs (TIDs), serial numbers, and QR strings based on approved requests


2. Fulfillment Coordination

  • Monitor the delivery and fulfillment status of devices, including replacements, returns, and redeliveries.
  • Track partner complaints or delivery issues and coordinate prompt resolution with vendors.
  • Coordinate daily dispatch and ensure device SLAs are consistently met.


3. Inventory and Documentation

  • Maintain up-to-date inventory records and perform daily tracker updates to reflect device movement and availability.
  • Support inventory reconciliation and forecast replenishment needs.
  • Coordinate submission and monitoring of RFPs, proof of delivery, and sales invoices.
  • Assist in the tagging and safekeeping of scan-to-order kits and related inventory.


4. Ticket and Request Management

  • Monitor device-related tickets from onboarding and fulfillment teams via email or ticketing platforms.
  • Route requests properly to relevant teams if outside Device Operations scope.
  • Track ticket aging and follow up on unresolved requests.


5. Logistics Coordination

  • Process bookings for OSA/ODA, including NJV and LBC arrangements.
  • Track shipping handoffs, pick-ups, and drop-offs to ensure end-to-end visibility.
  • Coordinate with couriers for same-day or scheduled deliveries.


6. Administrative and Reporting Support

  • Update dashboards and trackers daily to ensure data integrity.
  • Support internal reporting on fulfillment volume, ticket resolution, and inventory turnover.
  • Compile and consolidate data for audit purposes as needed.


7. Ad Hoc and Special Projects

  • Assist the Device Operations Team Lead with one-off tasks or special assignments.
  • Support cross-functional initiatives involving Device Management.
  • Provide back-up coverage for other Device Operations staff during peak periods or absences
  • Create and process sales orders for devices and related materials with accredited vendors (e.g., Airspeed, Sweet Dynamics).
  • Acknowledge incoming QR requests and prepare deliverables accordingly.
