JOB SUMMARY

As an Importation and Regulatory Assistant, you will support the Importation and Regulatory Officer in ensuring the smooth and compliant importation of wines. You will assist with various tasks related to import processes, documentation, and regulatory compliance.


DUTIES AND RESPONSIBILITIES

Importation Coordination:

  • Assist in processing import permits and clearances from relevant government agencies, such as the FDA, BOC, and DTI.


Regulatory Compliance:

  • Ensure compliance with Philippine laws and regulations on importing alcoholic beverages.
  • Monitor and renew company registrations, licenses, and permits related to wine importation.
  • Support the Importation and Regulatory Officer in maintaining compliance with labeling standards, health warnings, and other regulatory requirements.

Documentation and Reporting:

  • Maintain a database of all import transactions and regulatory filings for easy reference and auditing purposes..
  • Keep records of updated regulations and communicate changes to relevant teams.

Support and Coordination:

  • Assist in liaising with suppliers, customs brokers, and government agencies to address importation issues.
  • Provide support in resolving delays or discrepancies in shipments or documentation.
  • Collaborate with the sales and inventory teams to ensure the timely availability of products.

Other Administrative Duties:

  • Support the Importation and Regulatory Officer in implementing new policies or procedures for importation and compliance.
  • Perform other duties as assigned to facilitate efficient import operations and regulatory compliance.


Requirements

  • Bachelor’s degree in Business Administration, or any course on Customs Administration, Logistics, or a related field.
  • Open for fresh graduates or have a 1 year of experience in importation, logistics, or regulatory compliance, preferably in the wine, beverage, or food industry.
  • Strong attention to detail to ensure compliance with regulatory standards and documentation accuracy.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint. PDF) and import management systems.
  • Excellent communication skills for coordinating with government agencies, suppliers, and logistics partners.
  • Strong organizational and multitasking skills.
  • Willing to travel or work onsite when necessary.



Preferred Qualifications:

  • Familiarity with wine importation processes is highly preferred.
  • Knowledge of the Philippine laws and regulations governing wine importation (e.g., FDA, BOC, DOH, and DTI guidelines).
  • Proficiency in preparing and managing import documentation, such as bills of lading, packing lists, and certificates of origin.
  • Basic understanding of tariff and customs clearance processes.
  • Familiarity with permits required for alcoholic beverages (e.g., FDA License to Operate and Product Registration).
