Description

The Administrative Assistant – Human Resources provides essential support to the veterinary hospital’s HR operations. This position handles confidential employee information, assists with recruitment and onboarding, maintains personnel records, supports payroll and benefits administration, and helps ensure compliance with labor laws and internal policies.

This role contributes to a well-organized, professional, and people-centered workplace environment.


  • HR Administration:Maintain and update employee records, both digital and physical, ensuring confidentiality and accuracy.
  • Assist in tracking employee certifications, CE (continuing education), licensing, and vaccination records.
  • Support the HR manager or practice administrator in preparing HR reports and audits.


Recruitment & Onboarding

• Schedule interviews and communicate with candidates throughout the hiring process.

• Assist with new hire paperwork, background checks, credential verifications, and onboarding orientation.


Payroll & Benefits Support

• Help gather and verify time sheet data for payroll processing.

• Maintain records of PTO, sick leave, and other absences.

• Assist with open enrollment, benefit changes, and employee questions regarding insurance or retirement plans.


Compliance & Policy Management

• Assist in updating employee handbook and internal HR policies.

• Prepare documentation and reports for internal and external audits.


Employee Relations & Communication

• Schedule performance reviews, evaluations, and staff training sessions.

• Help organize team meetings, wellness programs, and staff events.

• Provide administrative support for employee recognition programs and internal communication efforts.Administrative Support

• Draft memos, forms, and HR correspondence.

• Organize digital filing systems and improve documentation workflows.

• Always maintain confidentiality of sensitive employees and organizational information.

Requirements

• Strong organizational and time-management skills.

• Excellent written and verbal communication abilities.

• Discretion, professionalism, and attention to detail.

• Ability to manage multiple tasks in a fast-paced environment.

• Proficient in Microsoft office suite

• Knowledge of labor laws, HR best practices, and confidentiality requirements.


Work Schedule:

• Sunday – Friday - (9:00am to 6:00pm)

• Day-Off Every Saturday (1-day)

• Regular / Special Holiday (Optional / case to case)

• Overtime (not required)
