  • Purpose of the position 
  • As the Rostering Officer, you are a pivotal employee to this organisation. You will be the first point of contact for telephone calls and for rostering shifts.  
  • All employees are expected to present a positive and professional image of the company when interacting with clients, family members, advocates, service providers, and the general community 
  •  The Rostering Officer will be a valued member of the organisation and will contribute to providing best practice to all people who work and use the services of the company. The Rostering Officer, will be expected attend regular staff meetings, continue professional development and assist in policy reviews.  
  • The Rostering Officer, roles and responsibilities must be performed in line with the Policies and Procedures of the company.

  • Responsibilities
  • Reporting to the Director, your duties will include:
  • Acting as a central point of contact on shifts for Support Staff.
  • Acting as a central point of contact for participant quarries.
  • Approving support staff shifts as per accepted norms
  • Developing and managing rosters
  • Providing administrative support to management and support staff regarding shifts
  • Communicating rosters and roster changes to relevant staff
  • Maintaining files and record management system in line with quality standards regarding shifts
  • Provide weekly Overtime report to assistant Director /Director
  • Making sure that contractual obligations of Part time workers are met (work hours)
  • Report fortnightly on part time staff contractual obligations to director.
  • Any other quality and compliance tasks as requested by management on shifts.
  • Position duties
  • A Rostering Officer’s duty may vary depending on the specific needs of customers and staff members. Common day to day duties of the position may include (but are not limited to):
  • Generating monthly rosters using rostering software
  • Responding to roster inquiries from relevant staff
  • Answering inbound inquiries from customers and assist with inquiries
  • Contact customers to ensure service requirements are met
  • Updating rosters based on business needs
  • Contacting (via phone, text, email, etc.) customers to advise of rostering changes
  • Contacting relevant staff to advise of roster changes
  • Assisting with general administrative duties to support staff
  • Assisting with the management of timesheets for relevant staff
  • Checking case notes
  • Checking line-item numbers are correct for each participant
  • Check staff have logged in and out of management system.
  • Check location of sign in and out.
  • Liaising with NDIA staff
  • Escalating issues to relevant Team Leaders and Managers
  • Send out Support Logs on Thursdays weekly and running
  • Sending weekly overtime reports
  • Assisting in project work to improve team processes

  • Knowledge of Rostering
  • Knowledge of NDIA policies and procedures. 
  • Knowledge of working on Nightingale, carelink or any health care platform is required
  • Telephone etiquette and communication with all stakeholders
  • Ability to identify potential risks to participants or the organisation.
  • Have excellent Organisational skills and Attention to detail
  • Capable of being able to multi task
  • Strong customer service skills
  • Essential qualifications 
  • The ability to maintain a high level of professionalism and confidentiality   
  • Excellent communication skills, both written and verbal  
  • Ability to work independently and to communication with a diverse range of people  
  • Reliable and honest.  
  • Well-developed communication and interpersonal skills  
  • Ability to work both independently and as a part of a team. 
  • Understanding and adhering to privacy and confidentiality issues.  
  • Desirable Criteria  
  • Previous experience as a Support Worker and Team leader
  • Excellent understanding of windows and excel software 
  • An understanding of direct care terminology, relevant to this sector 
  • An understanding or experience in general accreditation and standards
