Job Description

Location: Remote

Working Hours: Full-time | US Eastern Standard Time (EST)

Job Summary

We are seeking a highly organized and proactive Executive Assistant with strong experience in client coordination and operations management to support senior leadership in a fast-paced, remote environment.

The ideal candidate is detail-oriented, communicates professionally with clients, and can manage daily operations while keeping projects and schedules running smoothly. This role requires someone comfortable working US (EST) hours and handling confidential information with discretion.


Key Responsibilities

Executive & Administrative Support

  • Manage executive calendars, meetings, and appointments (US time zone)
  • Handle email management, follow-ups, and professional correspondence
  • Prepare reports, presentations, and documentation
  • Maintain organized digital files and records
  • Assist with travel arrangements and scheduling (if required)


Client Management

  • Serve as a primary point of contact for clients via email, chat, and calls
  • Schedule client meetings and manage follow-ups
  • Track client requests, deadlines, and deliverables
  • Provide professional and timely client communication
  • Support onboarding of new clients


Operations & Project Coordination

  • Support daily business operations and internal workflows
  • Track tasks, KPIs, and project progress using tools (Notion, ClickUp, Asana, Trello, etc.)
  • Coordinate with internal teams and contractors
  • Update process documentation and SOPs
  • Identify workflow gaps and suggest process improvements


Qualifications & Requirements

  • Proven experience as an Executive Assistant, Operations Assistant, or Client Manager
  • Experience working with international or US-based clients preferred
  • Strong written and verbal English communication skills
  • Excellent organizational and time management abilities
  • Ability to work independently and handle multiple priorities
  • Comfortable working US (EST) hours
  • High level of professionalism and confidentiality


Technical Skills (Preferred)

  • Google Workspace (Docs, Sheets, Calendar, Drive)
  • Microsoft Office (Word, Excel, PowerPoint)
  • Project management tools (Asana, ClickUp, Trello, Notion, Monday.com)
  • CRM or client management tools (HubSpot, Zoho, Salesforce – a plus)
  • Slack, Zoom, Teams
