Subject matter expert for Good Documentation Practices and applies knowledge to documentation review and processes.
Ensures that documents are checked.
Ensures that database/master list for records & database are maintained, controlled, and updated.
Ensures that all changes or revisions made in the document are authorized, maintained, and controlled.
Disposes quality records and documents in accordance with the set procedure.
Extract/import data from lease documents and input data into stakeholder’s specific database.
Extracted information must be aligned with protocol of standards established for stakeholders.
Performs quality review of data abstraction to ensure accuracy and escalating for additional review to outstanding document or data exceptions until complete data set has been captured and align with standards.
Ensures correct formatting and accuracy of reports and documents outputs as requested by stakeholder and project team.
Maintains database, ensure all data is updated, accurately classified, and reviewed for quality assurance.
Timely and accurate delivery of all standard and ad hoc reporting
Analyzes, arranges, and systematizes ledgers and directories for proper handling, retrieving and safekeeping of all contract documents and all its integral part.
Performs standard processes established for stakeholders and will participate in providing suggestions for continued improvement and streaming of procedures.
Reviews quality records and related documentation for compliance with operating procedures, protocols, work instructions, etc.
Reviews or creates quality records according to standard operating procedures.
Effectively follow the company’s standard operating procedures in submission of documents.
Coordinates with various teams, departments and stakeholders to complete data, record, and documentation of all required information needed by the project.
Supports project team’s activity in preparing, scheduling and other needed assistance to ensure proper execution.
Ensures timely submission of needed documents, trackers, and other data requested and required from the project.
Alignment of data, records, report and information to the required standard, quality and format requested to the project.
Assists on tracking, recording and follow up data requirements and action items discussed and agreed during group discussions and meetings.
Other activities related to your role and ad hoc tasks may be required from time to time.
Conducts site visits occasionally to check quality and authenticity of data/documents being used and required for the project.
Ensures the integrity of the QMS is maintained.
Performs other duties that may be assigned by the Immediate Superior from time to time.

Work Schedule: 7:00 AM-4:00 PM - Monday to Saturday
Work Location: Full on-site in Cubao, Quezon City /TFC, Taguig City

Preferably graduate of Bachelor’s Degree in Engineering, Management or related Field.
Preferably with QMS 9001-2015 Standard or equivalent in relevant discipline
More than 5 years of proven experience as Document Control, Project Admin working in a Construction, Engineering, and other related industry
Preferably with Oil & Gas experience
Knowledgeable in MS Projects, MS Office. Advance excel proficiency is highly advantageous. Familiar with E-DMS or other related Data Management tools activities preferably in an Oil and Gas Refinery and/or Depot settings, or other related fields
