Description

The Virtual Assistant plays a crucial support role in driving consistent brand engagement, administrative efficiency, and streamlined communication across platforms. Reporting directly to the Customer Service and Social Media Manager, this role combines creative, technical, and interpersonal responsibilities. The VA will support content production, social media lead generation, and customer engagement while also assisting with repetitive backend tasks and phone management.


A. Social Media Monitoring & Engagement

Objective: Build online presence and engage with potential leads through consistent social media interaction.


Daily Tasks:

  • Monitor and comment on relevant posts within the home renovation niche.
  • Follow and engage with potential clients and collaborators across Instagram and Facebook.
  • Participate in Facebook groups to engage in discussions and identify potential leads.
  • Keep a running list of engaged prospects and report findings weekly.


B. Content Creation & Scheduling

Objective: Produce and schedule brand-aligned social content to enhance online presence and lead generation.

Daily Tasks:

  • Edit photos and videos for social media platforms using provided footage and brand guidelines.
  • Write engaging, on-brand captions for each post (all content requires approval before posting).
  • Schedule approved posts using the social media calendar in Meta Business Suite or the Instagram app.
  • Organize content in folders for team visibility and collaboration.


C. Administrative Support & Digital Organization

Objective: Maintain an organized digital workspace and assist in routine backend admin tasks.

Daily Tasks:

  • Input and update lead data and engagement logs into the CRM (Go High Level).
  • Track and maintain consistency in posting schedules and engagement activities.
  • Assist with the preparation and formatting of reports, SOPs, and internal documentation.


D. Phone Support (Customer Service)

Objective: Ensure timely and professional phone support during designated hours.

Daily Tasks:

  • Answer and handle incoming calls between 12:00 PM – 4:00 PM Winnipeg Time (CST).
  • Log inquiries and direct calls to appropriate team members as needed.
  • Maintain a friendly, helpful tone when interacting with prospective and current clients.

Requirements

Essential Skills & Competencies:

  • Strong English Communication: Excellent verbal and written English skills.
  • Social Media Savvy: Familiar with Instagram, Facebook, Facebook Groups, and Meta Business Suite.
  • Video & Photo Editing: Comfortable using tools like Canva, CapCut, or similar.
  • Administrative Efficiency: Organized, detail-oriented, and experienced with repetitive tasks.
  • Time Management: Ability to meet daily deadlines and manage multiple tasks.
  • Responsiveness: Proactive in communication and fast to respond to messages or updates.
  • Team-Oriented: Open to feedback and collaboration, especially during content approval processes.


MUST have video editing experience. You will be asked for a portfolio of your video editing.
