HOPLA.Online is looking for a meticulous Data Processor to manage the entire order process, from quotation to delivery. This includes processing quotations for stock and non-stock items, coordinating with the Sales Manager, and maintaining regular communication with customers to provide updates. You will convert RFQs to orders, arrange deliveries with logistics, and ensure timely receipt and accurate inventory updates. You will handle purchase orders, monitor vendor responses, and expedite deliveries when necessary for non-stock items. Additionally, you will generate shipping documents, secure proof of delivery, and manage invoicing, ensuring customers receive accurate billing. Regularly, you will update the Sales Team on customer feedback and perform other related data processing tasks as needed.

Your days will be filled with:

  • For Stock items, process quotation requests by entering the requested items into the systems, creating quotations, and submitting the offer both via portal and email.
  • For Non-Stock items, to coordinate requests to the Sales Manager to process requests in the system
  • Regular follow-up with customers for outstanding requests via emails and updating status in the system
  • To convert RFQs to Orders and send Order Confirmation to the customer
  • To liaise with Logistics for delivery arrangements and to monitor the progress of the order
  • To create Purchase Order for non-stock items, monitor and send follow-up to vendors regarding order confirmations and requests for earlier deliveries
  • To Update stock inventory in the system when an order is received
  • To create shipping documents from the system, send delivery instructions to logistics, and to ensure that the order was delivered to the warehouse or forwarder.
  • To obtain Proof of Delivery (POD) from the Logistic partner and send a copy to the customer
  • To process invoices and send a copy to the customer’s finance department for payment processing
  • To attend regular sales meetings and update the Sales Team of the consolidated feedback and concerns received from the customers
  • To perform other related data processing tasks as instructed by your supervisor


Who we are looking for:

  • Available to start immediately.
  • At least 2 years of experience in data processing or related roles.
  • Excellent in customer service and interpersonal skills
  • With excellent English communication – verbal and written
  • Good listening and organizational skills
  • Experienced MS Office Suite User (at least Outlook, Word, and Excel)
  • With a knack for multi-tasking.
  • Independent and able to work under minimal supervision.
  • Adept in learning new workflows and tasks.
  • With a working knowledge of CRM
  • Willing to use a time tracker tool
  • Preferably residing within Metro Manila or the Greater Manila Area for a possible hybrid setup of Training Period (if outside GMA, the client will shoulder expenses)


Minimum Device Specs Requirements:

  • At least Intel Core i5 (AMD Ryzen/Mac equivalent) with 8GB RAM (main and backup)
  • Headphones (preferably with noise-cancelling feature)
  • Microsoft Excel software (required)
  • Web camera
  • Minimum 30mbps internet connectivity
  • Backup: 15mbps
