Job Summary:

The Operations Associate is responsible for day-to-day operational support to ensure smooth, safe, and efficient functioning of company sites. Key responsibilities include asset upkeep and repair coordination, ownership of operational equipment and supplies, verification of table reservations, management of operational documentation, permits, and logs, and maintaining the company repository of assets and materials.

Key Responsibilities:

• Schedule, track, and confirm preventive and corrective maintenance for equipment, fixtures, and systems.

• Coordinate repairs and service calls; follow up to ensure timely resolution and document outcomes.

• Maintain an up-to-date directory of approved third party maintenance contractors (contacts, specialties, rates).

• Manage the company repository: catalog assets/materials, track quantities and locations, enforce check in/check out procedures.

• Produce regular reports on asset health, maintenance status, inventory levels, vendor performance, reservation metrics, and compliance.

• Create and maintain SOPs, maintenance logs, permits, inspection records, and operational checklists.

• Review and verify table/space reservations for accuracy; resolve conflicts and confirm details with stakeholders.

• Ensure permits, licenses, and inspections are current and prepare documentation for audits.

• Identify operational inefficiencies and propose process improvements or cost-saving easures.

Qualifications:

• 2+ years’ experience in operations, facilities, inventory, or maintenance coordination.

• Familiarity with maintenance tracking systems, inventory/reservation platforms, and Excel/Google Workspace.
