ob Summary:


The Administrative Assistant provides comprehensive support to ensure the smooth operation of the general agency. This role includes managing administrative functions, monitoring agent recruitment and onboarding processes, tracking corporate accounts and sales performance, overseeing commission calculations and disbursements, and maintaining an organized and efficient administrative system. This role is integral to the smooth functioning of the agency, requiring a proactive, detail-oriented professional dedicated to supporting the company’s growth.


Responsibilities


1. Agent Recruitment and Onboarding Monitoring:

  • Coordinate the end-to-end recruitment process for new agents, ensuring compliance with training and licensing requirements.
  • Maintain and update agent recruitment trackers and ensure timely follow-ups with candidates for lacking requirements.
  • Ensure proper documentation and filing of agent contracts, licenses, and certifications.


2. Social Media Handling

  • Lead social media posting and interactions with community
  • Create contents for recruitment and sales activities


3. Sales Monitoring:

  • Monitor agents sales production and progress, assist to close sales as necessary.
  • Handle agency activity announcements
  • Track and monitor the progress of corporate accounts, ensuring all pending requirements from both sides are attended to.
  • Prepare regular sales performance reports for management's information.
  • Identify and flag any discrepancies in sales data for resolution.


4. General Administrative Support

  • Provide support to the President & CEO
  • Organize and maintain company records, contracts, and databases.
  • Assist in preparing presentations, reports, and internal communications.
  • Serve as the main point of contact for office-related inquiries and ensure timely resolution.


Qualifications


  • Bachelor's degree in Business Administration or a related field
  • With at least 1 year of administrative support experience; preferably in the insurance or brokerage industries
  • Strong interpersonal, customer service and communication skills
  • Ability to multitask and must be an independent worker
  • Must be detail-oriented
  • Proficient in Microsoft Office suite, Canva and other similar applications or tools
  • Tech and Social Media savvy
