1. Administrative
· Coordinate with the marketing team for purchasing of paint and materials used for exhibition and auction set-up
· Report and coordinate any office maintenance, safety, repairs, facility issues, aircon cleaning, and concerns to the
building admin
· Maintain and monitor office supplies, including checking inventory and ordering new stocks to ensure adequate
supply at all times
· File pertinent company/business documents in a systematic manner and ensure confidentiality and security
· Be stationed at the reception area to direct visitors/clients to appropriate personnel or teams and answer, screen,
and forward inbound phone calls
2. Logistics
· Organize the delivery/shipment of products (e.g., sold items, catalogues) both locally and internationally in
coordination with Relationship Managers and in conformity with client requests
· Log data related to logistics administration into the system
· Keep a complete, accurate, and updated record of orders and supplies
· Oversee the proper use and movement of items such as auction consignments, office supplies, and other materials
in the storage space
· Oversee the mailout of auction catalogues and invitations
· Assist the Marketing team in liaising with and facilitating the ingress and egress of caterers and other suppliers
