Role Overview

Vista HQ is looking for an HR Specialist/Assistant to help build and manage the people side of the company as we grow. This person will be responsible for supporting hiring, onboarding, team structure, internal policies, performance support, documentation, and general people operations.


This is an important role for someone who can bring order, professionalism, and good judgment into a growing company environment. We are looking for someone who can help create a strong foundation for team growth while keeping systems practical, organized, and human.


Key Responsibilities

  • Lead and support recruiting and hiring processes across roles
  • Help define job descriptions, hiring workflows, and candidate evaluation processes
  • Manage onboarding systems for new team members
  • Build and maintain internal HR processes, policies, and documentation
  • Support performance management, accountability, and role clarity
  • Help organize team structure, reporting lines, and internal communication processes
  • Maintain employee records and ensure documentation stays current and organized
  • Identify culture, training, and team development needs as the company grows
  • Support leadership with workforce planning and operational people decisions
  • Help create an organized and professional employee experience from hiring through offboarding


Ideal Candidate

  • Has experience in HR, people operations, talent operations, or organizational administration
  • Can build structure in a growing or early-stage company environment
  • Strong written and verbal communication skills
  • Organized, detail-oriented, and able to manage sensitive information professionally
  • Comfortable creating systems, policies, and repeatable internal processes
  • Able to balance compliance, people support, and business practicality
  • Strong judgment and follow-through


Preferred Qualifications

  • Experience working in startups, operations-heavy businesses, or service companies
  • Experience with recruiting and onboarding remote team members
  • Familiarity with HR workflows, policy writing, and performance support systems
  • Experience with tools such as Google Workspace, Airtable, Notion, GoHighLevel, or HR platforms
  • Understanding of employee documentation, role design, and internal training processes
  • Hospitality, real estate, or property management experience is a plus
