Administrative Assistant & Bookkeeper

Job Overview

We are seeking a detail-oriented and highly organized Administrative Assistant & Bookkeeper to support both day-to-day administrative operations and core financial processes. This role combines executive/administrative support with bookkeeping responsibilities, ensuring smooth business operations and accurate financial management.


The ideal candidate is proactive, reliable, and comfortable managing multiple priorities across administrative and financial functions.


Key Responsibilities

Administrative Support

  • Manage calendars, schedule meetings, and coordinate appointments
  • Handle email and correspondence on behalf of leadership
  • Prepare reports, presentations, and internal documentation
  • Maintain organized digital filing systems and records
  • Assist with project coordination and task tracking
  • Support onboarding processes and internal communications
  • Coordinate with vendors, clients, and internal teams


Bookkeeping & Financial Tasks

  • Record daily financial transactions in accounting software (e.g., QuickBooks, Xero)
  • Manage accounts payable and receivable
  • Process invoices, payments, and expense reports
  • Reconcile bank and credit card statements
  • Assist with monthly financial reporting and summaries
  • Maintain accurate financial records and documentation
  • Support payroll preparation and tracking (if applicable)
  • Ensure compliance with company policies and basic accounting principles


Operational Support

  • Assist in improving administrative and financial processes
  • Track budgets, expenses, and basic financial KPIs
  • Support audits and provide documentation when needed
  • Help maintain SOPs for both admin and finance workflows


Qualifications

  • Proven 3 years of experience in administrative support and/or bookkeeping
  • Basic understanding of accounting principles and financial processes
  • Proficiency in tools such as Microsoft Excel, Google Workspace, and accounting software
  • Strong organizational and time management skills
  • High attention to detail and accuracy
  • Excellent written and verbal communication skills
  • Ability to handle confidential information with integrity
